ASGCT is seeking a mid-level professional to manage the Society’s scientific abstract processes. This includes overseeing calls for scientific abstracts for conferences, as well as submission, review, and implementation into the Annual Meeting and other conference programming—including both onsite and virtual posters. The ideal candidate is a highly organized program or project manager with strong attention to detail and an interest in bringing scientific research to a broader audience.
Primary Responsibilities
- Manage the Annual Meeting abstract process by developing and facilitating timelines, working with subject matter experts, managing the online abstract database, developing and sending communications to submitters and reviewers, and collaborating with cross-departmental staff
- Serve as staff liaison and provide support to Society leadership and volunteers involved in executing the abstract process
- Coordinate with and support relevant external vendors to ensure successful programmatic outcomes
- Manage all communication with abstract submitters to ensure prospective presenters have all necessary information to execute a successful program
- Support the publication of abstracts within the Society’s journal and on its website
- Manage the Society’s abstract awards program by tracking applicants, determining and notifying winners, and helping to administer payments following the Annual Meeting
- Support programs for non-Annual Meeting events, including managing smaller-scale abstract submissions
- Track and manage timelines in ASGCT’s project management software to ensure adherence to project deadlines
- Identify potential opportunities to improve the abstracts and abstract awards processes for presenters, reviewers, and staff in alignment with organizational goals
- Develop and maintain reports and analytics on abstract submissions, reviews, and outcomes to inform decision-making and improve processes
- Develop, maintain, and follow standard operating procedures for assigned responsibilities
- Manage the Abstract Inbox for questions and concerns
- Other duties as assigned
Required Skills and Experience
- Bachelor’s degree preferred
- 3+ years of related program or project management experience (non-profit, association, or academic experience a plus)
- 1-2 years of experience operating large online databases
- Highly organized and detail-oriented
- Proficiency in Microsoft Office, particularly Microsoft Excel, Word, Teams, and SharePoint
- Proficiency with project management platforms, such as ClickUp
- Excellent written/verbal communication and customer service skills, with the ability to convey information clearly and effectively to Society leadership, staff, volunteers, and members, in-person, through email, and via Teams/Zoom
- Ability to work primarily independently and self-directed
- Demonstrate a proactive approach to the role, with adaptability and problem-solving skills
- Strong collaboration and multitasking skills, and an ability to thrive in a fast-paced environment
- Ability to work occasional weekends/evenings, primarily tied to key abstract-related deadlines or events
- Ability to travel up to 3 weeks per year
