ASGCT is seeking an experienced meetings and events professional responsible for the successful planning and implementation of the Society’s hybrid programs, including the Annual Meeting and workshops, Policy Summit, and other events. This role works across multiple teams to project manage and deliver dynamic event experiences to our stakeholders. The ideal candidate is a self-starter who is a strategic thinker yet detailed and collaborative, with excellent communication skills, and has experience planning and organizing large scale events.
Primary Responsibilities
- Manage logistics associated with ASGCT meetings and events, including site selection, site visits, on-site coordination of ASGCT programs, contract negotiation, food and beverage, vendor relationships with hotels, convention centers and other venues, decorator, audio visual, security, and others.
- Manage the procurement process for events to obtain registration materials, floral, etc., while maintaining vendor sourcing lists.
- Research potential meeting sites: activities include performing site visits, collecting proposals, and reviewing contracts as needed to book future meeting and event venues.
- Collaborate with the Development team on confirmed sponsorships and exhibits, as needed to produce, promote, and execute sponsored services including corporate symposia, signage and branding, and meeting handouts.
- Collaborate with the Education team to ensure adequate space, layout, audio visual, and all other logistical considerations necessary to execute the scientific and educational programming.
- Collaborate with the Communications and Marketing teams to ensure proper information is included in event marketing, website and communication plans, and coordinate onsite branding and signage.
- Collaborate with committee staff liaisons to provide logistical guidance for committee meetings and ancillary events.
- Manage housing blocks to ensure adequate room night availability, while mitigating attrition risk.
- Contribute to the project plan for hybrid in-person events by maintaining ClickUp, ASGCT’s project management software, to create and maintain project timelines and run of shows.
- Produce post-event reports, analytics, and ROI documents to guide data driven cross-team discussions.
- Produce materials such as the staff operations manual and coordinate the operations meeting to prepare staff for event execution.
- With the Assistant Director of Meetings and Events, manage and maintain event budgets, provide sound judgment for forecasting, and continuously seek innovative opportunities for budget efficiencies.
- Other duties as assigned.
Required Skills and Experience
- Three or more years of meeting planning experience with city-wide programs that take place in convention/conference centers and utilize multiple hotel properties, preferably experience in association management, and familiarity with nonprofit organizations.
- Outstanding interpersonal, organizational, and communications skills.
- Demonstrated adaptability to solve problems under pressure while remaining composed and calm in stressful situations.
- Strong contract negotiation skills.
- Highly motivated with the ability to manage multiple projects and prioritize, to meet multi-faceted and sometimes rapid deadlines.
- Acute attention to detail and a high level of accuracy to drive results.
- Able to work successfully in a team environment and individually with tact, diplomacy, and poise, both remotely and in-office.
- Must be proficient in Microsoft Office Suite and comfortable learning new technologies. Experience with hybrid event platforms and registration systems/bureaus preferred.
- Bachelor’s degree required.
- Ability to travel up to 6 weeks per year.
Salary
The annual salary for this role is $60,000.
