COVID-19 Reporting

General Guidelines

Anyone experiencing symptoms of COVID-19 must refrain from attending the in-person portion of the conference. The CDC states the symptoms of COVID-19 include: fever or chills, cough, shortness of breath or difficulty breathing, fatigue, muscle or body aches, headaches, new loss of taste or smell, sore throat, congestion or running nose, nausea or vomiting, diarrhea, or a fever (100.4º F or higher). As a reminder, all attendees have access to view the event virtually.

In-person registrants experienceing symptoms during the event may contact ASGCT to switch their registration from in-person to virtual and a refund of the difference will be provided.

Vaccination and Masks

All in-person attendees at the IOVC must be vaccinated. In order to enter the conference, in-person attendees must have the ability to download the CLEAR app on a smartphone or tablet to prove their vaccination record is valid. (Enrollment in CLEAR must be done on a mobile app). NOTE: Not all providers and geographic regions are supported in the CLEAR app. If your vaccination record is unable to be uploaded into the app, please bring your proof of vaccination to IOVC.

All in-person attendees are required to wear masks. ASGCT is following CDC recommendations that fully vaccinated people wear masks in public indoor settings in areas of substantial or high transmission, which includes Sedona, AZ. The city of Sedona also requires all people inside any city building to wear a mask.

Physical Distancing

The in-person portion of IOVC will include substantial physical spacing between attendees to encourage proper physical distancing. Please refrain from handshakes, hugs, or high-fives

Hotel Safety

The Hilton Sedona Resort at Bell Rock is taking part in the Sedona | Safe.Clean.Ready initiative, a CDC-guided list of safety standards and state health department business guidelines to keep guests and local workers safe.

Food and Beverage

Food and beverage service will be provided in a minimal contact manner (i.e. individually packaged food and wait staff distributing items when necessary).

Waiver of Liability

There is an inherent risk of exposure to COVID-19 in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. While ASGCT is taking measures to reduce the likelihood of transmission, there remains a risk of being exposed to or contracting COVID-19 during the ASGCT Policy Summit.

  • I am aware of the contagious nature of COVID-19 and the risk that I may be exposed to or contract COVID-19 by attending IOVC in person.

  • I will not hold ASGCT accountable and agree to waive any and all claims against ASGCT should I be exposed to or contract COVID-19.

  • I agree to monitor my own health status and will not attend IOVC in person if I have been exposed to COVID-19 or if I have any symptoms associated with COVID-19, including fever or chills, cough, shortness of breath or difficulty breathing, fatigue, muscle or body aches, headaches, new loss of taste or smell, sore throat, congestion or running nose, nausea or vomiting, diarrhea, or a fever (100.4º F or higher).

  • I agree to take full personal responsibility for the risk of being exposed to or contracting COVID-19 by attending IOVC in person.

  • I agree to fully comply with all COVID-19 health and safety measures and protocols in place while attending IOVC, including the appropriate use of face coverings and physical distancing from other attendees.

  • I understand that ASGCT reserves the right to remove any attendee from the event for failure to follow the health and safety measures and protocols in place while attending IOVC.

Privacy Policy

  • ASGCT does not share your registration information to any third party for any purpose unrelated to the delivery of IOVC.

  • ASGCT shares your information with sub-processors engaged in the registration process in the delivery of the virtual platform. Event sub-processors are obligated to conform with General Data Protection Regulation (GDPR) data privacy requirements and are precluded from using your data for promotional purposes.

  • ASGCT may use data collected during registration to provide general and personalized information and updates related to IOVC.

  • ASGCT may also use data collected during registration to provide general and personalized information regarding other ASGCT events, publications, and membership services, which you may opt out of at that time.

Registration Changes and Cancellations

In-person attendees may switch to attending virtually on or before October 20 and receive a refund of the difference. No refunds will be issued after October 20 or through the 30-day on-demand period. In-person registration ends October 28; virtual attendees may switch to attend in person by this date.

All attendees who choose to cancel their registration before October 20 will be charged a $25 fee.

COVID-19 Reporting

If you are attending IOVC in person and you experience any COVID-19 symptoms, please refrain from attending and notify healthandsafety@asgct.org as soon as possible. You can find a COVID-19 testing site here.
